Notice to Clients Regarding COVID-19 and In-Office Visits

In response to Covid-19 we have implemented the policies below for the health and safety of our therapists and clients. We will continue to evaluate the situation, listening to various authorities and experts, and make any adjustments, as needed. We hope this is all temporary.

While we cannot eliminate all possible risks inherent with a public space and contact during services, our goal is to minimize the possible risks. If you are uncomfortable coming in during this crisis, we understand and ask that you let us know you are choosing to postpone your appointment or you wish to be seen via telehealth. Should you choose telehealth, please be aware that not all client types are suited for telehealth (i.e., children younger than 7-8 years of age, persons with limited access to necessary technology, etc.).

1) Beginning June 1, 2020, we will begin the transition back to in-office services.

2) Therapists not wishing to conduct in-person sessions at this time will notify their clients when they are ready to begin doing so.

3) Clients not wishing to attend in-person sessions at this time can continue to be seen via telehealth.

4) All face-to-face psychological testing will be delayed until approximately July 1, 2020, and commencement of this service will depend on COVID-19 infection rates which will be re-evaluated on a week-by-week basis.

5) We ask that any client showing symptoms of any illness call us to reschedule their appointment. Likewise, any clients with ill family members are asked to reschedule. (See below for updated late cancellation and no-show fees information.) We will be strictly enforcing clients to reschedule if they are visibly sick with a cough, fever, runny nose, cold-like symptoms, have been self-quarantined, or have been exposed to anyone who has tested positive for COVID-19 within the past 14 days. Clients must be symptom free.

6) We are adjusting schedules in order to limit the number of people in the building. This will reduce the total number of people in the building at once and allow for more distance between clients.

7) We are asking that clients limit personal belongings brought into the building. Please, no stuffed toys or other cloth items. Please limit personal belongings to cell phones, keys, form of payment and personal necessities.

8) All clients returning to in-office sessions will be asked to sign a COVID-19 waiver

9) Until further notice, clients will not be able to visit the “treasure box.”

10) All clients and staff will be required to wear masks in the “public” areas of the office (i.e., waiting room area, conference room, kitchen, filing room, hallways, etc.). Please bring a mask from home. If you arrive without a mask, one will be provided for you at a charge of $2.00.

11) We will be refraining from handshakes, hugs, and other nonessential physical contact during this time.

12) We are asking clients, whenever possible, to pay using credit/debit cards or checks – avoid using cash. Credit card fees will apply. To avoid these fees, please plan to pay by check if at all possible.

13) Front and back doorknobs will be sanitized every hour.

14) All therapy rooms with will be sanitized, to the extent possible, between sessions, including cleaning table top surfaces, door knobs, light switches (if used during session), wiping down used toys/materials or placing them in the “wash bin” for sanitizing before the next use.

15) All therapy sessions will be limited to 45 minutes in length to allow sufficient time for sanitization of the therapy room between clients. There will be no fees adjustments.

Client Flow Procedures During COVID-19

Clients will not wait in the waiting room. Waiting space will be provided on the porch, in the front yard, and in client cars.

Clients will not enter the building until they receive notification that they may enter.

Clients are asked to arrive no less than 5 minutes before their appointed session time.

What to do when you arrive:

Upon arriving at the building, text 678-997-3070* with the client’s name and a statement that they have arrived. Remain in your car or otherwise outside the building. When your therapy room has been sanitized and your therapist is ready to greet you, a return text will be sent from this number notifying you that you may enter the building THROUGH THE FRONT DOOR to conduct any business that needs conducting and to attend their session. 

(*This phone number will be used only for text communication regarding appointments. Any other message sent to this phone in any format [text or voice] will not receive a response.)

1) For child/adolescent clients, they may be accompanied into the building by their parent/guardian. The parent/guardian will then be expected to wait somewhere outside the building during the child/adolescent’s session.

2) Clients who arrive late may have to wait to enter the building until any congestion clears and it is safe for them to enter. This may result in shortened sessions for clients who are tardy. Should this occur, no discount on session fees will be offered.

3) Prior to commencing the therapy session, both the client and therapist will wash their hands in the kitchen or in one of the building restrooms.

4) Following the session, the therapist and client will again wash their hands.

5) Clients will then exit THROUGH THE BACK DOORClients who are under the age of 12 and others who may otherwise need supervision will be escorted to their parent/guardian wherever they are waiting outside the building.

Late Cancellation & No-Show Policies and Fees During COVID-19

We understand that this is a very uncertain time for many of you, 

and we have taken the current events into consideration while updating our policy.

Please understand that when you forget or cancel your appointment without giving enough notice, we miss the opportunity to fill that appointment time with other clients. When an appointment is properly cancelled or rescheduled it allows us time to inform clients who are waiting for appointment availability, as well as keeping our therapists’ schedules full, thus better serving everyone. Appointments are confirmed through text or phone call depending on your preference. However, if we are unable to reach you, please understand that it is your responsibility to remember your appointment dates and times. The following cancellation and no-show fees will apply starting June 1, 2020. 

Fees will be waved due to illness or circumstance related to COVID-19.

• The first late cancellation (less than 24-hour notice) or “no-show” will result in a charge equal to 50% of the session fee.

• Subsequent late cancellations and “no-shows” will be charged 100% of the session amount.

• Appointments made within the 24-hour period will need to cancel within 4 hours of the appointment time,

 or it will result in a charge equal to 50% of the session amount.

• If there is no credit-card on file, the amount due will be placed on your account and 

must be paid before you are able to schedule another appointment.
